ChibiLearn Privacy Policy

Last updated: October 14, 2026

1. Introduction and scope

This Privacy Policy explains what information ChibiLearn (the “Service”, available at chibilearn.com) collects, how we use and protect it, and the choices you have. It applies whenever you visit the Service, create an account, or use our courses, vocabulary study and other features.

If the Vietnamese version of this policy and a version in another language differ, the Vietnamese version prevails.

2. Information we collect

Depending on how you use the Service, we may collect:

  • Account information: your name and email address, and a password if you sign up with email (we never store passwords in readable form). If you sign up with “Continue with Google”, we receive only the basic profile of your Google account — name, email address and profile photo — to create and identify your account.
  • Learning activity: what you study and how you progress — for example the vocabulary you have studied, your progress and your results — so we can show your history and let you continue where you left off.
  • Orders and payments: the plan you purchase, the amount, the time, and the transaction reference we need to match a payment to your order.
  • Technical and device data: your IP address, browser and device type, sign-in session details and error logs, which we need to keep you signed in, protect the Service and fix problems.
  • Communications: what you send us when you contact support.

3. How we use your information

We use your information to:

  • provide and operate the Service, including your account, your learning progress and the access you have purchased;
  • let you sign in and keep your account secure;
  • process orders and grant access to the content you have paid for;
  • send service emails you request or need, such as password-reset links and payment confirmations;
  • respond to your questions and support requests;
  • detect and prevent fraud, abuse and automated misuse;
  • diagnose and fix errors and improve the Service; and
  • comply with our legal obligations.

We use your information only for these purposes or for purposes closely related to them.

4. Cookies and similar technologies

We use a small number of cookies and similar technologies, each for a specific purpose:

  • Essential: a session cookie keeps you signed in and identifies your account on each request. The Service cannot work without it.
  • Preferences: your browser’s local storage remembers interface and study preferences, such as the light/dark theme.
  • Security: on actions such as sign-up, sign-in, password reset and checkout, we run an automated-abuse check that may process technical signals from your browser, such as your IP address, to tell people from bots.

We do not use advertising cookies, third-party analytics or tracking tools. If this changes, we will update this policy first and, where required, ask for your consent.

You can block or delete cookies in your browser settings, but doing so may prevent you from staying signed in or using parts of the Service.

5. Sharing your information

We share personal information only in these situations:

  • Service providers: trusted companies that help us run the Service, such as infrastructure and storage, email delivery, error monitoring, abuse prevention and payment processing. They receive only the information they need to perform their function, may use it only on our instructions, and must protect it.
  • The sign-in provider you choose: if you sign up with Google, we exchange with that provider the limited profile information described in Section 6.
  • Legal and safety: where required by law or by a competent authority, or to protect the rights, safety and security of users, the Service or others.
  • Business transfer: if ChibiLearn is involved in a merger, acquisition or sale of assets, your information may be transferred; we will tell you, and the successor will remain bound by this policy.

We do not sell or rent your personal information, we do not use it for advertising or profiling, and we do not use it to determine creditworthiness.

6. Data from your Google account

When you sign up or sign in with Google, we request only the basic profile — your name, email address and profile photo — to create and identify your account. We do not request or access your Gmail, Google Drive, contacts or any other Google data.

We use this information only to provide the account and sign-in features described in this policy. We do not share it with anyone other than the service providers described in Section 5, we do not use it for advertising or profiling, and we do not use it to train AI or machine-learning models.

ChibiLearn’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can review or revoke ChibiLearn’s access to your Google Account at any time from Google Account permissions.

7. Storing and transferring data across borders

Our service providers may store and process your information on servers located in countries other than the one where you live. Where this happens, we take reasonable steps to make sure your information stays protected in line with this policy and applicable law.

8. Data retention

We keep your personal information for as long as your account is active, so your history and progress stay available to you. When you delete your account from Account Settings, we delete your account and learning data.

Order and payment records (the plan, amount and payment reference — see Section 2) are kept after deletion for accounting and fraud-prevention purposes, but are no longer linked to your account. We may also keep information for longer where the law requires it or to resolve a dispute.

You can also ask us to delete your personal information at any time by contacting us (Section 12).

9. Data security

We use technical and organisational measures appropriate to the sensitivity of the information to protect it against unauthorised access, loss, disclosure or alteration, and we limit access to personal information to what is needed to operate the Service. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password confidential and tell us promptly if you suspect unauthorised use of your account.

10. Your rights and choices

You are in control of your information:

  • In the app: review and update your name, change your password, see the sessions signed in to your account and revoke any of them, and permanently delete your account — all from Account Settings.
  • By contacting us: ask for a copy of your data, ask us to correct it, to stop or limit certain uses of it, or to delete it, and ask any question about your rights. We will respond within the period required by applicable law.

To protect your account, we may need to verify your identity before acting on a request. Depending on where you live, you may have additional rights under local data-protection law.

11. Children’s privacy

The Service is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.

12. Changes to this policy and contact us

We may update this policy from time to time. We will publish the updated version here with a new “Last updated” date and, for material changes, notify you by email or in the Service. Continued use of the Service after changes take effect means you accept the updated policy.

Questions about this policy or your data can be sent to support@chibilearn.com.
